Executive Assistant/Event Coordinator Job

 

Position: Executive Assistant/Events Coordinator

Status: Part-time, 30–35 hours per week

Location: Los Angeles, CA area; This is both a virtual position and in our office

 

Doug Addison is the founder of InLight Connection, a non-profit 501c(3) religious corporation. He is a prophetic minister, writer, speaker, Life Coach and stand-up comedian. Doug speaks at conferences and training schools. He specializes in dream interpretation and helping people discover their destiny. He also ministers in the Hollywood entertainment industry. Doug is transitioning from being primarily an itinerant conference speaker to doing TV and internet-based training, coaching and webcasts (while still doing live events). He is developing an internet-based reality show called The Tattoo Prophet.

 

Overview of position

This position is Doug Addison’s right-hand person who will manage various aspects of day-to-day tasks for his ministry, InLight Connection. If you are the person for this position you must have a positive outlook, be a self-starter, be able to work under pressure without much supervision and meet deadlines. You’ll need to be a multi-tasker and wear a lot of different hats as you help hire and manage future and current contractors and staff.

You’ll need to have had ministry school training and possibly inner-healing along with the experience and background to hold up under the pressures of a busy active ministry.

The job requires you to be in Los Angeles or Southern, CA. You will work remotely from your home/office but also be available to meet with Doug weekly at his Venice, CA office. Doug and Linda live in Los Angeles, and InLight Connection’s main office is located in Santa Maria, CA.

80% of InLight Connection’s staff works virtually from around the US. We are trying to develop a Los Angeles base.

 

Details of Event Coordination

  • Following up on incoming Event requests
  • Contacting the host church and finalizing details of schedule/ topic, etc.
  • Obtaining signed Event Agreement Forms
  • Booking flights, hotel, car, etc.
  • Updating website with Event details
  • Updating master Events document with Event information to be used by other departments

This job will require lots of phone and email communications. When Doug’s speaking schedule has openings you will need to help find events and make calls to nearby cities to secure additional places for him to speak.

 

Project management

Doug is very project-oriented and is always developing new websites, training resources, self-publishing books, audios, etc. Delegation is key and you will need to recruit volunteers and outsource tasks to contractors such as designers, proofreaders, page layout professionals, etc. You will coordinate and supervise detailed tasks with contractors and volunteers.

 

Oversee outgoing communications

You will be responsible to get all weekly and monthly email blasts out by determined dates and answer all the incoming email for the organization.

 

Recruit and manage interns and volunteers

Obviously all this work is too much for one person. You will need to help find and manage volunteers and interns and hire contractors and staff as needed to get it all done.

 

Local events

InLight wants to start doing local events and so it will require being available to coordinate these.

 

Key skills needed 

  • Exceptional written and oral communication. You will be the representative of Doug’s ministry over the phone and through email.
  • Excellent English and grammar skills. Ability to proofread documents for accuracy.
  • Tech-savvy: InLight utilizes the Internet heavily.
  • Microsoft Office: Word, Excel, PowerPoint
  • Resourceful: If you don’t know the answer, you will need to do Internet research to resolve any issues we might have.
  • Team player.
  • Hold up under high degrees of spiritual warfare.
  • Value hearing God’s voice and intercession.

 

Additional considerations

There is a difference between working in a corporate versus a ministry environment. It is necessary to understand a “culture of honor” toward Doug and our leadership team.

We require people who have had ministry school training and possibly inner-healing along with the experience and background to hold up under the pressures of a busy active ministry.

Because this is such an important job in our ministry, we would only like to work with people who have available time during the day. In other words, we prefer that you don’t have another job or a super busy schedule so that you have adequate time to give to us.

We would prefer someone with a set schedule who can give this job her/his full attention. This is not for people who go on a lot of ministry trips or vacations. We want you to be part of our team as if you were in our office, even though you are not. There might be some weekend work. Some travel but the majority of work is done from our base.

We are looking for a long-term relationship with someone who feels called to this by God and not someone who just needs a job.

 

Salary

Contract work is hourly and based on experience.
